Police Clearance Certificates are official documents that show whether or not you have a criminal record. The name used can vary from country to country. Some common names include Good Conduct Certificate, Criminal Background Check and National Police History Check. When working in International Education, a Police Clearance Certificate is necessary to secure a teaching position.

UK

How to obtain a Police Clearance Certificate – UK

Name: Police Certificate

Online Application

Documents / info required:

  • Proof of current address (see link below for full details)
  • A recent passport style colour photograph (approx. 45mm x 35mm - see link below for full details)
  • Copy of passport / official photographic identity document
  • Copies of any legal documentation, such as Power of Attorney or signed letter of authority (if applicable).
  • Valid email address.
  • Your address history (see link below for full details)
  • Details of an Endorser - Your application must be endorsed by a suitable individual (see link below for full details) 
  • UK National Insurance/Driving Licence numbers.

Procedure:

  2. Fill in the application form, including the information listed below.
  3. Upload the required documentation and make payment using either debit or credit card
  4. You certificate will be returned via post to the address you specify in your application

Postal Application

Documents / info required:

  • Copy of passport / official photographic identity document

  5. You certificate will be returned via post to the address you specify in your application

USA

How to get a Police Clearance Certificate – USA

Name: FBI Identification Record

Documents / info required:

  • Full name
  • Date and place of birth
  • Mailing Address (telephone number and email address if available)
  • A set of rolled-inked fingerprint impressions
  • A certified cheque or money order for processing fee

Procedure:

  1. You should fill out the application form (link here)
  2. Make sure to include the information and documentation listed above
  3. You must also submitted a complete set of rolled finger prints - (FD-258 fingerprint cards must include name and date of birth. The service is provided by most law enforcement agencies)
  4. This application form, along with full set of finger prints and application fee (paid by either credit card or money order only), should be posted to: FBI CJIS Division – Summary Request, 1000 Custer Hollow Rd., Clarksburg, West Virginia 26306
  5. If there is no criminal record, a report reflecting this will be issued by post to the address you supply in with your application

Application can also be made through FBI-approved Channelers. These are private businesses that complete the process on your behalf.

Canada

How to get a Police Clearance Certificate – Canada

Name: Criminal Record Check (Certificate of Good Conduct)

Documents / info required

  • Set of 10 fingerprints
  • Reason for your criminal record check
  • Full name
  • Date of birth
  • Sex
  • Mailing address
  • Phone number

Procedure: 

*(Your application, including information, documentation and payment (if applicable) will be made in full, either in paper or electronically, at your local police station or accredited company.)

  1. You must submit a set of 10 fingerprints. This can be done at a local police station where they can be recorded electronically or with ink and scanned directly to the RCMP. Alternatively you can visit an accredited company to complete this step.
  2. You must then complete the application form (paper submission) or provide the information listed above to the person taking your fingerprints at the police station or accredited company (electronic submission).

Duration: If your application is taking an inordinate amount of time to process (timeframe undisclosed) and you require an update, please email CCRTIS-SCICTR@rcmp-grc.gc.ca. Please provide only the following:

  • Full name
  • Date of birth
  • Type of application (VS Check or Criminal Record Check)
  • Date of application submission
  • Telephone number
  • Document control number (DCN)

Australia

How to get a Police Clearance Certificate - Australia

Name: National Police Check

Documents / info required

  • Full name (and all previous names if you have ever changed it)
  • Date of birth
  • Full payment to accompany application
  • Identification documents
  • Consent form (for online application)
  • Email address (for online application)
  • Set of fingerprints (may be necessary)

Procedure:

You have the option of applying online or by post.

  1. If applying by post, the application form should be downloaded, printed and sent, along with cheque or bank draft and letter of consent, to Australian Federal Police, Criminal Records, Locked Bag 8550, CANBERRA CITY ACT 2601. Find the application form here 
  2. If you choose the online option, you should submit the application form along with other relevant documentation and information as outlined below. Find the application form here. If you are applying online, you are required to print a consent form which will be generated during the process. You should also scan and load identification documents and pay by credit card

*(Fingerprints may be required, "where there is a legal or regulatory requirement for such a check to be conducted". If this is the case, the applicant has responsibility to obtain the official fingerprint at his or her local police jurisdiction.)

Duration: Approximately 15 working days

New Zealand

How to get a Police Clearance Certificate - New Zealand

Name: Criminal Record History

Documents / info required:

  • Completed Application form
  • Copy of Valid Identification (either NZ driving licence, NZ or foreign passport, or NZ firearms licence)
  • Full name
  • Date and place of birth
  • Address and previous addresses in NZ
  • Telephone number
  • Email address

Procedure:

  1. To obtain your Criminal Conviction History, you must fill out an application form and submit it. You can find this application form here
  2. The form must be physically signed, meaning that it may be filled in electronically, printed and signed, or it may be printed and filled in by hand and then signed. The completed form may then be scanned and sent by email, or alternatively posted. A copy of valid Identification must accompany this (either NZ driving licence, NZ or foreign passport, or NZ firearms licence)
  3. You also must either post or email your valid identification to one of the addresses stated in step 4. If submitting by email, the ID should be scanned into any regular file format (.jpeg, .png, pdf, doc, docx, tif). The subject line of the email should only hold your first and last name only.
  4. The application form can then be posted to: Criminal Records Unit, Ministry of Justice, SX10161, Wellington. Alternatively, the email address is: criminalrecord@justice.govt.nz

Ireland

How to get a Police Clearance Certificate – Ireland

NamePolice Certificate

Documents / info required:

  • Copy of passport picture page or driving license
  • A stamped self-addressed envelope
  • A written application  letter including the following information
    1. Full name (on birth certificate), 
    2. Date and place of birth (or copy of birth certificate)
    3. Current address
    4. List of all addresses you have lived in Ireland and the period resided in each
    5. Reason you require the Certificate (and for where) 

Procedure:

  1. An application letter should be made in writing to the Superintendent in charge of the relevant district where you live in the Republic of Ireland. (A list of stations and district superintendents can be found on the page through the link below.)
  2. Your written application should include all the documents and information above.
  3. Post your application, along with a stamped self-addressed envelope, to the relevant district superintendent.
  4. Your certificate will be posted back to you at the address provided

Duration: Approximately 3 weeks.

*Note - Police Clearance and Garda Vetting Certificates are two separate documents. Some countries will accept your Garda Vetting but others will require a Police Clearance Certificate.

South Africa

How to Get a Police Certificate – South Africa 

Name - Police Clearance Certificate

Documents / info required: 

  • Full name
  • Date and place of birth
  • Identity number (if available)
  • Address (for purpose of return postage)
  • Certified Copy of passport
  • Completed Finger Print form

Procedure:

  1. Fill in the Finger Print form and have your finger prints taken at your local police station.
  2. You just record your full name, date and place of birth and identity number (if available) on the form.
  3. Include a certified copy of your identity document/passport with the application.
  4. The police station will then send the completed application to the Criminal Record Centre.
  5. Alternatively,you may deliver or post the completed application to: The Head of the South African Criminal Record Centre, (For attention: Police Clearance Certificates), Private Bag X308, 0001 PRETORIA, SOUTH AFRICA. On completion, the certificate will be mailed to the applicant by post.

Duration:Approximately 14 working days
